The Northway and Ashchurch Food Pantry is looking for three volunteers to help us grow and thrive as a registered charity.
The Project Manager will work alongside the Pantry Manager to oversee operations, develop funding streams, and lead on strategic development — a key role for someone who combines organisational ability with a heart for community.
The Treasurer will oversee the financial affairs, ensure legal compliance, and report on our financial health to the Steering Committee — an ideal opportunity for someone with financial experience who wants to put their skills to work for a cause that matters.
Finally, the Secretary will provide vital administrative support to the Steering Committee, managing correspondence and minutes, and helping to keep the governance running smoothly. Project Manager

Role Overview

Key Responsibilities
- Strategic Development — Collaborate with the Board of Trustees to develop and implement strategic plans that support the long-term growth and sustainability of the Pantry
- Partnerships & Reporting — Establish and nurture relationships with community partners and stakeholders, while ensuring robust compliance and accurate reporting across all areas of operation
- Financial Management & Fundraising — Oversee budgetary management and lead on identifying and securing funding to underpin the Pantry’s ongoing viability
- Steering Group Participation — Attend and contribute to regular Steering Group meetings, helping to shape the direction and governance of the Pantry
- Governance & Compliance — An understanding of the governance and compliance standards relevant to a registered charity, including safeguarding and Health & Safety responsibilities
Person Specification
Essential
- Demonstrable experience in project management or organisational coordination
- Excellent communication skills, strong IT literacy (including proficiency in Excel), and confidence using social media platforms
- Familiarity with Google Suite (Docs, Sheets, Drive etc.), or a willingness to become familiar with it
- A compassionate, non-judgmental manner with a genuine commitment to community wellbeing
Desirable
- Experience of fundraising and/or successful bid writing

Treasurer

Role Overview
The Treasurer is a voluntary role within the Northway and Ashchurch Food Pantry, responsible for overseeing the organisation’s financial affairs, ensuring legal compliance, and reporting on financial health to the Steering Committee and Board of Trustees.
Key duties include monitoring budgets, managing bank accounts, preparing annual accounts, and ensuring effective financial controls are in place.
Time Commitment: Voluntary — attending Steering Committee meetings (every 2–3 months) with some work between meetings
Key Responsibilities
- Financial Oversight — Ensuring that proper accounting records are maintained and that financial resources are spent appropriately and in line with the Pantry’s purposes
- Reporting — Presenting regular financial reports, management accounts, and audited annual accounts to the Board of Trustees
- Strategy & Planning — Advising the Board on the financial implications of strategic plans, supporting budget setting, and undertaking cash flow forecasting
- Compliance — Ensuring the Pantry meets its obligations under Charity Commission regulations, tax requirements, and relevant legal frameworks
- Fundraising — Overseeing the financial aspects of fundraising activities and ensuring proper handling of income
- Policy Implementation — Developing and monitoring financial policies, including reserves and expenses
- Records & Bookkeeping — Handling day-to-day bookkeeping and invoicing as required
- Governance & Compliance Awareness — An understanding of, or willingness to learn, the governance and compliance standards relevant to a registered charity, including safeguarding and Health & Safety responsibilities
Skills and Expertise
- Financial Expertise — Knowledge of accounting, bookkeeping, or financial management, gained through professional or voluntary experience

Secretary to the Steering Committee

Role Overview
The Secretary is a key voluntary member of the Pantry Steering Committee, providing essential administrative support that enables the Committee to function effectively. Working closely with the Chair, Pantry Manager, and Fundraising Officer, the Secretary helps ensure that meetings are well-organised, records are accurate, and communication flows smoothly across the team.
Time Commitment: Voluntary — meetings take place 4 times a year, with some administrative work between meetings
Key Responsibilities
- Organise Committee meetings, including finding suitable dates and booking appropriate venues (such as Northway Hub)
- Prepare and circulate agendas ahead of meetings, with input from the Chair
- Take minutes at meetings, type them up, and obtain approval from the Chair before circulation
- Maintain confidential documentation about Pantry members, ensuring it is kept up to date and accessible to the Chair and Pantry Manager
- Provide administrative support to the Chair, Pantry Manager, and Fundraising Officer when preparing funding applications
- An understanding of, or willingness to learn, the governance and compliance standards relevant to a registered charity, including safeguarding and Health & Safety responsibilities
Skills and Experience

- Confidence using computer applications such as Microsoft Office, and communicating via email and WhatsApp
